Position Summary:
We are looking for a Service Administrator to deliver “above expectations” services to our customers, when they contact the Russian office, and establish a good working relationship with our customers and field service engineers.
The Service Administrator is responsible for the coordination and scheduling of service jobs done by our field service engineers (FSE’s). Furthermore, the Administrator takes part in back office tasks such as invoicing, keeping databases updated and ad-hoc requests from customers.
Main Activities / Responsibilities:
- Take and log customer calls on the appropriate database
- Allocate calls to correct field service engineer and keep the customer updated on the progress
- Complete and invoice service jobs once the jobs has been done
- Ensure Annual Service jobs are scheduled in a timely manner
- Prepare estimates for instrument moves, re-installations and general chargeable work
- Maintain customer history on the company service databases and ensure amendments are made in a timely manner
- Provide cover for other members of the sales/service admin team
- Handling customer requests for spare parts and maintenance
- Planning and coordination of the activities of service engineers and the supply of spare parts and consumables
- Invoicing direct customers and tracking payments
- Preparation of technical commercial offers for spare parts and technical service
- Interaction with divisions of the Company, including foreign manufacturing firms
- Fulfilment of requests and claims of the Customer until their complete solutions
- Monitoring the activities of the service department, preparation of periodic reports
- Help with coordinating Service activities including travel arrangements
- Intimately familiar with local Russian processes and all associated paper work
- Installation coordination
Minimum Requirements/Qualifications:
- Experienced Administrator / Coordinator
- FSE Dispatch experience would be an advantage but not essential
- Commitment to providing an excellent level of customer service
- Ability to multitask and work under pressure
- A good level of customer facing skills, specifically good telephone skills
- Team player
- Flair for IT - Word, excel, outlook
- ERP (any) Experience helpful but not essential as training will be provided
- Knowledge of the laboratory branch an advantage but not essential
Requirements/ Competencies:
- Higher Education (Technical/International trade)
- Relevant experience > 2 years
- Handles and manages deadlines, works well under time pressure
- Well organized and structured mind
- Fluent Russian, good to excellent English language skills, writing and speaking
- Attention to details, high accuracy with terms and conditions
- Process oriented
- Good time management and adherence to deadlines for all involved in the process
- Strong interpersonal skills to coordinate and complete proposal on time
- Ability to communicate with different levels of hierarchy
- Knowledge sharing
- Ability to work with cross-functional teams
