Overall purpose of the job: To help design, implement and execute everything from day-to-day administrative HR duties to long-term HR strategies. To establish, develop, maintain and communicate office policies throughout the company. To help advise and consult with employees whilst simultaneously keeping the overall best interests of Capula in mind. Across, UK, Japan, US, Singapore, Hong Kong, and Switzerland, handle employee relations issues, performance reviews, training and development to ensure that employees work cohesively, are motivated and perform well. Work with the recruitment team on hiring, contracts and international mobility as required. Assist compensation and benefits lead on benefits issues, monthly payroll, year-end compensation processes and deferral schemes. This role will involve:Assisting in Key HR processes Ensure training needs are met to enhance employee performance. Actively participate in and help lead the firm’s performance management process. Assist with monthly checks on payroll. Provide HR induction for new starters on their first day, including HR system training. Execute the exit process for leavers, including administration of leaver documents, removing from benefits etc. and arrange for personnel files to be signed off as per the company’s internal processes. Provide HR system training for performance management. Participate with the wider HR team with HR projects and programs. Train employees and new joiners on the HR system and performance management. From time to time assist with visa application processes for existing employees where necessary and ensure immigration files and processes are up to date at all times. Help to lead DEI initiatives at the firm Update Capula Linked In page required Advising employees and managers across the firm Advise management on a broad range of employee issues including but not limited to: terminations, restructurings, redundancies, disciplinaries and grievances. Serve as key point of contact for employees to raise issues and ask questions. Stay up to date with employment laws and regulatory developments across the UK, US, Singapore, Hong Kong, Japan and Switzerland. Partner with Legal and Compliance to ensure HR policies, processes, and employee relations practices remain compliant with local labour laws, regulatory requirements, and industry best practices. Provide guidance to business leaders on jurisdiction-specific employment matters, mitigating legal risks while supporting business objectives. Developing HR practices and policies and maintaining HR records: Ensure HR files and records are complete and maintained in accordance with legal and GDPR requirements and company policies and procedures. Understand GDPR, IR35 and the SMCR regulatory requirements for the firm including fitness and propriety of employees. Work closely with Compliance to ensure adherence to regulatory requirements, including SMCR, by supporting the identification, certification, and ongoing fitness and proprietary assessments of Senior Managers and Certified Persons. Help develop best practice and up to date HR policies globally. Ensure that employment law practices are reflected in all HR policies and procedures in all global jurisdictions. Participate in ongoing reviews of the company’s HR policies and handbooks making updates where required. Communication across the firmSupport managers in effective leadership of their teams by providing advice, and guidance on HR processes, good work practice and the handling of sensitive situations. Assist in the communication of staff changes for new starters & leavers. Respond to reference requests from external parties and employees. Partner well with colleagues across other departments as required. Note that in addition to these duties employees are required to carry out such other duties as may be reasonably required.Requirements Education and QualificationsBachelors degree is required.Experience 7-12 years HR experience in financial services. Proven track record of advising management on employee issues. Experience working in a multicultural, international environment. Demonstrated ability to work with team members at all levels across multiple locations. Skills Proven influencing and skills Strong time management skills and able to work independently to meet deadlines. Strong interpersonal and communication skills (both written and verbal). Excellent organization skills and attention to detail. High degree of integrity and confidentiality. Proactive and able to take ownership of processes and projects. Strong team player. Demonstrated quantitative skills. Proficiency with HR reporting as well as Excel and PowerPoint. Commercial awareness.
