Job Vacancy: Office Manager Location: Birmingham Organisation: Monarch Education We are seeking a dedicated and professional Office Manager to join our team and contribute to the development of a strong, effective school. Our focus is on promoting a culture of educational excellence within a caring and secure Islamic environment, enriched with the values of discipline, mutual care, and respect, extending beyond the school into the wider community. Strategic Leadership: Lead and develop the business and resource functions of the school in line with Trust policies and procedures. Provide strategic information for the Principal and Governors. Develop links with the wider Trust, community, families, and local environment. Operational Management: Oversee all aspects of business services, including HR, facilities, estates, school administration, catering, IT, governance, and health and safety. Manage finance, admissions, and attendance in collaboration with school and Trust leads. Relationship Management: Ensure excellent relationships with pupils, staff, and parents. Support the Principal and Senior Leadership Team through effective delegation to the admin team. Liaise with Star Central, ESFA, and other stakeholders to ensure compliance. Financial Management: Work with the Finance Business Partner to ensure effective financial processes and accurate budget monitoring. Apply 'Best Value' principles to purchasing decisions and oversee administrative staff responsible for financial transactions. Facilities and Estates Management: Act as the Lead Person for Health and Safety and Fire Officer. Ensure a safe environment and compliance with health and safety legislation. Manage the maintenance and security of school premises and oversee site operatives and cleaning staff. Human Resource Management: Lead day-to-day HR management, maintaining personnel records and ensuring compliance with Trust policies. Manage recruitment, performance management, appraisal, and development of support staff. Management Information Systems: Support the effective use of Management Information Systems across the school. Manage statistical and statutory returns, including SIMS management and the Annual Workforce Census. School Administration: Manage the school's administrative function and staff. Support the marketing of the school, including branding, prospectus production, and communication. Ensure effective office and reception services as the school's main public front. Handle front-line enquiries from staff, pupils, parents, and visitors promptly. Maintain and transfer pupil records accurately. Advise parents on grants, school meals, income support, and admissions applications. Administer after-school clubs and school visits, including transport, bookings, and money collection. Provide first aid and care for sick children. Governance and Regulatory: Support the Principal and Senior Leadership Team in ensuring effective governance and regulatory compliance. Act as the Data Protection Lead, ensuring compliance with data protection policies and procedures. Ensure staff compliance with mandatory training requirements. Maintain updated records for the Governing Body and provide a suitable meeting environment. ICT Management: Manage ICT requirements and ensure issues are logged and resolved. Implement contingency plans for technical failures. Maintain accurate records of ICT assets. Other Responsibilities: Promote the Trust's vision of 'nurturing today's young people, inspiring tomorrow's leaders.' Champion the Trust's values of 'Service', 'Teamwork', 'Ambition', and 'Respect.' Contribute to the wider life of the Trust and the Star community. Ensure proper records management in line with Trust policies. Qualifications and Skills: Proven experience in office management or a related field. Strong leadership and strategic planning skills. Excellent interpersonal and communication abilities. Proficiency in financial management and budgeting. Knowledge of HR practices and health and safety regulations. Ability to manage multiple tasks and work under pressure.
