Our client, a well established care home, is currently seeking an experienced and organised Office Manager.The Office Manager will play a vital role in the day-to-day administration of the home, providing high-level support to the Care Home Manager while ensuring the smooth and compliant operation of all office and reception functions. Key Responsibilities Organise, implement, and maintain efficient office systems to support the smooth running of the care homeProvide administrative support to the Care Home Manager and senior teamEnsure confidentiality and data security in line with GDPR requirementsManage all correspondence including emails, post, and electronic messages on a daily basisLiaise with DSS, Social Services, Regulatory Bodies, Head Office, and Operations Teams as requiredAct as the main point of contact for staff, residents, relatives, and visitorsCarry out reception and telephone duties in a professional and welcoming mannerMaintain accurate, up-to-date personal and financial records for all residentsManage accounts, receive payments, issue receipts, cash up, banking, and petty cash recordsLog invoices and forward to Head Office within required timescalesAssist with debt management processes alongside Head OfficeMaintain residents’ personal allowance records and arrange payments to external service providersCreate and maintain personnel files, ensuring compliance with HR policies and regulatory standardsCollate timesheets and payroll information using Time & Attendance systems and resolve discrepanciesPromote and market the care home, manage enquiries, and maintain enquiry logsComplete audits, reports, and returns accurately and on timeAttend meetings, mandatory training, and additional courses as requiredWork flexibly to meet the needs of the care homeFollow and implement all company policies and procedures Candidate Requirements Previous experience in office management or senior administrationExperience within the care sector or regulated environments is highly desirableStrong organisational skills and attention to detailConfident handling financial administration and cash processesExcellent communication and interpersonal skillsCompetent IT skills, including Microsoft Office and electronic record systemsKnowledge of GDPR, confidentiality, and compliance requirementsAbility to work independently and as part of a multidisciplinary team
